Office furniture rental in South Africa starts at around R134 a month for a basic desk and R143 a month for a visitors chair, while a complete 10-person office with boardroom and storage starts at about R4,866 a month. All prices below include VAT and come from the published rental rates of Deskworx, the rental company associated with Office Interiors, checked on 6 October 2026. They are one provider’s starting prices, not a market average, so treat them as a realistic guide to what a rented fit-out costs rather than a final quote.

What Drives the Monthly Cost of Office Furniture Hire

Four things move the monthly figure more than anything else.

  • Product grade: a basic operator chair and an ergonomic executive chair can differ in price by more than four times.
  • Rental term: agreements run for a fixed minimum of 12, 24, 36 or 60 months, and your final monthly rate depends on the term you select.
  • Quantity and layout: cluster desks that seat four people cost less per person than single desks, which is why layout affects the price as much as the product range.
  • Delivery location and access: delivery to the major metros is included, but upper floors without a lift and outlying areas attract extra charges.

Typical Monthly Rental Rates, Including VAT

These are the “prices start at” figures per item per month.

  • Visitors and operator chairs: R143 to R218 (for example the Link Visitors Chair at R143 and the Mi Ergo Kansas Operators Chair at R218).
  • Ergonomic chairs: R420 to R672 (Merryfair Motion at R420, up to the Merryfair Wau at R672).
  • Single desks: R134 to R210, with a managerial desk and open storage at R353.
  • Cluster desks: R328 to R462 for two-way units and R672 to R1,050 for four-way units.
  • Boardroom tables: R504 to R1,092 for six seats, R798 to R1,344 for eight seats, R1,260 to R2,772 for ten seats and R1,302 to R2,940 for twelve seats.
  • Reception counters: R672 to R1,176.
  • Reception seating: R395 to R924 for single seaters and R554 to R1,142 for double seaters.
  • Storage: R134 for an open storage unit, R168 for an open bookcase and R336 for a roller door credenza.

Complete Office Bundles: What a Whole Office Costs

Bundles are the quickest way to budget because they package desks, chairs, pedestals, boardroom furniture and storage into one monthly figure. The 10 Staff Standard bundle, for example, includes 10 high back chairs, two cluster desk units, 10 mobile pedestals, an eight-seat boardroom table with eight visitors chairs, a systems cabinet and a bookcase.

  • Essential tier: R3,294 for 6 staff, R4,866 for 10 staff and R6,918 for 15 staff.
  • Standard tier: R4,362 for 6 staff, R5,928 for 10 staff and R8,850 for 15 staff.
  • Premium tier: R5,778 for 6 staff, R8,460 for 10 staff and R12,840 for 15 staff.
  • Single manager office: R1,092 (Essential), R1,368 (Standard) and R1,938 (Premium).

Divided by headcount, that works out to roughly R461 to R549 per person per month on Essential, R590 to R727 on Standard and R856 to R963 on Premium. The larger the team, the lower the cost per person, because the boardroom, storage and shared items are spread across more people. These per-person figures are our own calculation from the listed bundle prices.

Costs Beyond the Monthly Rental

The monthly figure is not the whole picture. Budget for these as well.

  • Deposit: one month’s rental is payable upfront.
  • Annual escalation: the rental may increase once a year by a maximum of CPI plus 2%, with 30 days’ written notice.
  • Delivery extras: standard delivery to Johannesburg, Pretoria, Cape Town, Durban and Port Elizabeth is included, but upper floors without a lift, outlying areas and restricted-access sites are quoted separately.
  • Insurance: you must insure the furniture at full replacement value from delivery, with the rental company noted as an interested party. Ask your broker to update your office contents policy.
  • Damage: fair wear and tear repairs are covered, but damage from misuse, negligence or accidents is for your account.
  • Payment fees: a returned debit order costs R250, and late payments attract interest at prime plus 3%.
  • Early cancellation: this is the most expensive surprise. Cancelling in the first 6 months means paying 100% of the remaining rentals, months 7 to 12 means 75%, and after month 12 on longer agreements it is 50%, each plus a collection fee.

A Worked Example: 10 Staff on the Standard Bundle

At R5,928 a month, the deposit is R5,928. If that starting price held across a 36-month term, the total would be about R213,408 before any annual escalation. That is the number to compare against a purchase quote for the same layout. If you cancelled 30 months in, 50% of the six remaining rentals would be roughly R17,784, plus the collection fee.

Buying outright means a large capital outlay and depreciation on your books, while renting spreads the cost and moves maintenance and replacement to the supplier. Neither is always cheaper. The deciding factors are how long you will stay in the space and how certain your headcount is. Deskworx also notes that rental payments are typically treated as a business expense, so ask your accountant what that means for your tax position.

How to Keep Your Rental Cost Down

  • Start on the Essential tier and upgrade only the chairs people sit in all day.
  • Match the term to your real runway, because early cancellation is where rental becomes expensive.
  • Rent desks and chairs, which change most as teams grow, and buy statement pieces such as reception furniture outright.
  • Check lift access and parking before booking so delivery surcharges are not a surprise.
  • Ask for the buyout schedule before you sign, so you know the purchase price at the end of the term.
